Job Description
The Customer Service Representative (CSR) serves as the primary liaison between customers, sales, and manufacturing, ensuring smooth order processing and customer satisfaction.
Essential Duties and Responsibilities:
- Maintain strong relationships with customers through phone and email communication.
- Receive and process customer purchase orders via email, fax, or telephone, ensuring product availability, correct pricing, and customer credit standing.
- Collect and verify customer information and product specifications.
- Coordinate artwork approval, ensuring accuracy in cutting dies, layout, colors, and other specifications.
- Hold production orders until customer approves plate proofs, product design, and other specifications.
- Monitor the proofing process from department to customer and final production.
- Process new purchase orders, determining the best printing location based on volume, graphics, press availability, and cutting die/cylinder availability.
- Include special customer requirements such as rewind preferences, delivery instructions, and sample needs.
- Notify purchasing and production teams of special orders, rush jobs, or unique stock/ink needs.
- Ensure the customer is within credit limits and has up-to-date receivables.
- Create job orders for production, ensuring all necessary details are included.
- Route supplies and materials such as paste-ups, artwork, copy, film, or prints to work areas for production.
- Keep customers and sales representatives informed on order status and resolve production issues that may delay shipments.
- Address customer inquiries, complaints, and requests by gathering data, reviewing job jackets, and comparing samples.
- Work with customers to resolve issues by coordinating with management on potential credits, reorders, or additional product offerings.
- Process invoices and verify shipping reports against packing lists and customer transaction reports.
- Prioritize orders as necessary to meet customer demands while balancing production capabilities.
- 1-2 years of customer service experience in a manufacturing or similar environment.
- Strong problem-solving skills and ability to resolve issues efficiently.
- Proficiency in Microsoft Office (Word, Outlook, Excel).
- Ability to read and interpret rulers, scales, and other measurement devices.
- Basic math skills, including percentages, commissions, and volume calculations.
- Ability to lift and/or move up to 25 lbs occasionally.
- Excellent communication and organizational skills.
